The software a one-truck owner can use for location posts, pre-orders, bookings, stock and staff, with printed prices and an order to set it up in.

Start with a POS that takes cards offline, then use a free AI assistant to write each week's location post and schedule it from one free app. Add pre-orders from your POS next, then a way to catch catering bookings. Inventory and staff scheduling tools can wait until you have a second cook or a second truck.

Our [food truck POS guide](https://maple.inc/blog/best-pos-for-food-trucks) covers the first step: offline card limits, battery, cellular and card fees for Square, Clover, Toast and Shift4 Dine. This page covers everything a truck runs around the POS, with each tool described from its own page and its printed price, and the order we suggest a one-truck owner set it up in.

## What does a food truck need beyond the POS?

Job Why it matters on a truck Where AI helps What stays with you
Location posts Guests have to find you before they can buy Turning your week's stops into posts, emails and texts The stops, times and any sold-out news
Pre-orders Guests who order ahead can skip the window line Little; this is a setting in your POS Pickup windows and when to pause orders
Catering and event bookings Private events can fill slow weekdays Answering first questions and collecting event details The quote, the deposit and the yes
Inventory You can only carry what fits, and running out ends the day early Reading supplier invoices, for larger operations The count before you leave the commissary
Staff schedule A second cook or cashier has to know which stops they work Drafting a schedule from availability Checking it against the week's events

## How do you post where the truck will be?

Write your week of stops once, then let a general AI assistant turn it into a short post for each network, an email and a text. Check every address and time before anything goes out. A wrong corner sends regulars to an empty curb.

> **Example prompt:** Here are our stops this week: [day, place, cross streets, hours]. Write one Instagram caption under 40 words for each day, one email listing the whole week, and one text under 160 characters for Monday. Use only the places and times I gave you. Do not add dishes or prices.

Tool What it does, per its own page Printed price Start here if

Mailchimp's price rises with your contact count. For writing prompts beyond location posts, see our [ChatGPT guide](https://maple.inc/blog/chatgpt-for-restaurants).

A Google Business Profile needs care for a truck. Google's [profile guidelines](https://support.google.com/business/answer/3038177?hl=en) allow one service-area profile for a business that "travels to customers at their physical locations," and ask businesses that show an address to keep permanent signage there. Read them before you create a profile, and keep the phone number on it one you control; our [guide to your number on Google and apps](https://maple.inc/blog/restaurant-phone-number-google) explains why.

## Should a food truck take pre-orders?

If your line is long at lunch, yes. [Toast Online Ordering](https://pos.toasttab.com/products/online-ordering) lists POS and kitchen integration with no commissions, and [Clover's online ordering](https://www.clover.com/pos-systems/online-ordering) says orders "fire straight to your kitchen team and Clover POS," with no setup or subscription fees for takeout. Set a pickup window at each stop, and check how to pause online orders when the line backs up. Our guides to [Square](https://maple.inc/blog/square-online-ordering), [Toast](https://maple.inc/blog/toast-online-ordering) and [Clover](https://maple.inc/blog/clover-online-ordering) online ordering list each one's fees and setup steps.

Test it at a real stop. Place an order on cellular data, then turn data off on the POS as our [offline mode guide](https://maple.inc/blog/pos-offline-mode) describes, and see what happens to an order placed while you are offline.

## How do you catch catering and event bookings?

Booking requests arrive by form, email and phone, often while you are serving. Two kinds of tool help.

- **Booking marketplaces.** [Roaming Hunger's vendor page](https://vendor.roaminghunger.com/) says you bid on catering jobs and keep 100% of your bid, that most vending events are free to join with a revenue share on some, and that its software is free to use because it adds a service fee to the host.
- **Phone answering.** If your truck number rings during service, an AI phone agent can answer the first questions and pass event requests to you. [Maple Voice](https://maple.inc/pricing) answers calls with hours and FAQ answers and transfers calls to staff, at $150 a month billed monthly or $85 billed yearly. Our [catering inquiry guide](https://maple.inc/blog/restaurant-catering-phone-inquiries) lists the details to collect on each call.

Keep the quote, the deposit and the final yes with you. A truck can only be in one place at a time, so check your calendar before any booking is confirmed.

## What about inventory and staff schedules?

For one truck, a paper count sheet and your POS's sales report often do the job. Clover's food truck page lists tracking sales and ingredients as they come in. AI inventory tools are priced for restaurants: [MarketMan's Starter plan](https://www.marketman.com/pricing-for-restaurant-inventory-management-system) is $249 a month with 50 AI-powered invoice scans. Wait for that until invoice entry takes hours each week.

Once you hire, a free scheduling plan covers a small crew. [Homebase Basic](https://www.joinhomebase.com/pricing) is $0 for one location and up to 10 employees, and its AI Scheduling Assistant sits in the Plus plan. [7shifts Comp](https://www.7shifts.com/pricing/) is free for one location and up to 15 employees. Check each app's time clock works on a phone at the window.

## What order should a one-truck owner set things up in?

1. **Before launch:** the POS, tested offline at a real stop.
2. **Week 1:** a free assistant for location posts, and one scheduling app for social posts.
3. **Week 2:** an email sign-up at the window, on a free plan.
4. **Week 3:** pre-orders from your POS at one stop with a long line.
5. **When bookings start:** a marketplace listing, and a plan for calls you cannot answer while serving.
6. **When you hire:** a free staff schedule app.
7. **When invoices take hours:** an inventory tool.

## What would the monthly software bill look like?

Two example months for one truck, using the printed prices above on monthly billing. These are illustrations, and they leave out the POS and card fees, which our POS guide prices.

Item Starting month Busy season month
AI assistant (Claude) Claude Free: $0 Claude Pro: $20
Post design and scheduling (Adobe Express) Adobe Express Free: $0 Adobe Express Premium: $9.99
Email (Mailchimp, under 250 contacts) Mailchimp Free: $0 Mailchimp Free, list still under 250: $0
Staff schedule (Homebase Basic) Not needed yet Homebase Basic: $0
Phone answering (Maple Voice) Not needed yet Maple Voice: $150
Total Starting month total: $0 Busy season total: $179.99

The busy month adds up to $20 + $9.99 + $150 = $179.99. Without phone answering it is $29.99. On yearly billing, Maple Voice is $85 a month, which brings the busy month to $114.99.
