This Privacy Policy explains how Maple AI, Inc. (“Maple,” “we,” “us,” or “our”) collects, uses, discloses, and otherwise processes personal data on behalf of our customers—typically merchants (each, a “Merchant”)—in connection with our web-based application, Maple (the “App”), which runs on the Clover Point of Sale system (“Clover POS”).
This Privacy Policy applies only to Maple’s processing of personal data within or through the App. It does not apply to our corporate website or other Maple products and services outside the Clover App.
Maple’s processing of personal data in connection with the App is governed by this Privacy Policy and our agreements with Merchants. If there is any conflict, the Merchant agreement controls to the extent permitted by law. Merchants must maintain their own privacy notices explaining how they collect and use customer and personnel information.
We may collect personal data from or on behalf of Merchants. The types of information depend on how the Merchant configures and uses the App.
1. Customer payments through Clover POS
We receive transaction details such as a tokenized payment reference, name associated with the payment method, Merchant location, date and time, amount, and items purchased.
Card data entry occurs within Clover’s PCI-compliant environment (for example, Clover-hosted fields or hosted checkout). Maple does not receive or store raw card numbers or CVV codes; we may receive tokenized references or transaction IDs for order fulfillment, receipts, and support.

We may process identifiers, roles or permissions, order-handling activity, and (if enabled) schedule metadata necessary for App functionality.

Merchants may provide additional information (e.g., customer contact lists, purchase histories, catalogs, or staff lists) as needed for the App to operate.
Children’s and Minors’ Data
The App is not directed to individuals under the age of 13 and is intended for use by Merchants and their authorized staff only.
We do not knowingly collect or process personal information from children under 13. If we discover such data, it will be promptly deleted.
Merchants are responsible for ensuring compliance with all laws related to youth or minor data when using the App or embedding it in their own websites.
Because the Maple App operates through a web-based interface, we may use cookies and similar browser technologies to support core and optional features, including:

Call recordings (if enabled) are retained for up to 90 days unless required longer for investigations, support, or legal obligations, after which they are securely deleted.
Web analytics and operational logs may be retained for 12–24 months to monitor performance and maintain service integrity.
Retention schedules for North America follow federal and state privacy, consumer-protection, and recordkeeping laws, including CCPA/CPRA, FTC, and GLBA standards.
Where applicable law grants rights regarding personal data, individuals should contact the Merchant that uses the App to submit such requests.
Maple will assist the Merchant or Clover (as applicable) in fulfilling verified data-subject requests, subject to our contractual obligations.

Controller. Maple acts as a data processor on behalf of the Merchant that installed the App on Clover POS. That Merchant is the controller of personal data we process on its behalf. Clover may also act as a controller in certain circumstances—see Clover’s Privacy Notice for details.
DPO / EU/UK Representative. Not applicable. Maple has not appointed a Data Protection Officer or EU/UK representative at this time.
Legal basis. Established by the Merchant; Maple processes data as directed or permitted by the Merchant.
Cross-border transfers. Where required, Maple relies on lawful transfer mechanisms such as Standard Contractual Clauses. Contact us for details.
Retention. As stated above and consistent with Merchant agreements.
Data-subject rights. Individuals should direct requests to the appropriate controller (typically the Merchant) and may also contact supervisory authorities listed on the European Data Protection Board website.
Information, Access, and Deletion. California residents (or authorized agents) may request details about Maple’s collection, use, or disclosure of personal information, request a copy of their data, or request deletion.
How to exercise your rights: Email hello@maple.inc. We will verify your identity or authority before responding.
Nondiscrimination. Maple will not unlawfully discriminate against anyone for exercising privacy rights.
Sale/Sharing. Maple does not sell personal information and does not share personal information for cross-context behavioral advertising in connection with the App.
We implement appropriate technical and organizational safeguards to protect personal data against unauthorized access, disclosure, alteration, or destruction.
For web sessions, all connections use HTTPS/TLS encryption, and sensitive data is transmitted securely.
Payment card data is handled exclusively within Clover’s PCI-compliant hosted checkout; Maple never receives raw cardholder data.
Call recordings (if enabled) are stored in secure, access-controlled environments.
We may modify this Privacy Policy at any time. Changes will be posted with an updated “Last Updated” date at the top of this page. Continued use of the App after changes take effect constitutes acceptance of the updated Policy.
