Overview

This Privacy Policy explains how Maple AI, Inc. (“Maple,” “we,” “us,” or “our”) collects, uses, discloses, and otherwise processes personal data on behalf of our customers—typically merchants (each, a “Merchant”)—in connection with our web-based application, Maple (the “App”), which runs on the Clover Point of Sale system (“Clover POS”).

This Privacy Policy applies only to Maple’s processing of personal data within or through the App. It does not apply to our corporate website or other Maple products and services outside the Clover App.

Maple’s processing of personal data in connection with the App is governed by this Privacy Policy and our agreements with Merchants. If there is any conflict, the Merchant agreement controls to the extent permitted by law. Merchants must maintain their own privacy notices explaining how they collect and use customer and personnel information.

Information We Collect

We may collect personal data from or on behalf of Merchants. The types of information depend on how the Merchant configures and uses the App.

1. Customer payments through Clover POS

We receive transaction details such as a tokenized payment reference, name associated with the payment method, Merchant location, date and time, amount, and items purchased.

Card data entry occurs within Clover’s PCI-compliant environment (for example, Clover-hosted fields or hosted checkout). Maple does not receive or store raw card numbers or CVV codes; we may receive tokenized references or transaction IDs for order fulfillment, receipts, and support.

2. Additional customer information via Clover POS or web ordering

Depending on Merchant configuration, we may also process:

  • Contact details for receipts or updates (email or phone)

  • Marketing preferences and opt-ins

  • Loyalty program identifiers and activity

  • Delivery details (address)

  • Other customer-provided information (e.g., birthdate, preferences, reviews, or feedback)

  • Call recordings (if enabled by the Merchant) for quality assurance, training, and dispute resolution. Where required, callers are notified that calls may be recorded.

3. Merchant personnel information

We may process identifiers, roles or permissions, order-handling activity, and (if enabled) schedule metadata necessary for App functionality.

4. Information provided directly by Merchants

Merchants may provide additional information (e.g., customer contact lists, purchase histories, catalogs, or staff lists) as needed for the App to operate.

Children’s and Minors’ Data

The App is not directed to individuals under the age of 13 and is intended for use by Merchants and their authorized staff only.

We do not knowingly collect or process personal information from children under 13. If we discover such data, it will be promptly deleted.

Merchants are responsible for ensuring compliance with all laws related to youth or minor data when using the App or embedding it in their own websites.

Cookies and Similar Technologies

Because the Maple App operates through a web-based interface, we may use cookies and similar browser technologies to support core and optional features, including:

  • Authentication and secure login sessions

  • Remembering user or Merchant preferences between sessions

  • Measuring App performance and diagnostics

  • Detecting and preventing fraudulent or unauthorized activity

We use two categories of cookies:

  • Essential cookies – required for security, session management, and core App functionality.

  • Optional analytics cookies – used only to understand aggregate usage patterns and improve performance; these do not track individuals across unrelated websites.

Maple does not use cookies, pixels, or tracking scripts for advertising or cross-site behavioral profiling.

If a Merchant embeds the App or its web ordering form within their own site, that site may set additional cookies under its own privacy policy.

We may share personal data with:

  • The Merchant from whom or on whose behalf the data was collected

  • Clover, the platform provider (see Clover’s Privacy Notice)

  • Third parties at the Merchant’s direction (for example, delivery, loyalty, or marketing integrations)

  • Service providers contracted to host, support, or operate the App in accordance with our instructions

  • Our affiliates for the purposes described here or in our Merchant agreements

We may also disclose data to government authorities, law enforcement, or private parties as required by law or as needed for the purposes above.

If Maple undergoes a corporate transaction such as a merger, acquisition, or sale, personal data may transfer to the successor subject to this Policy.
